Because we work with children, and because our trial form allows you to share medical or health information about a child, we take particular care with the data we hold. Please read this policy before submitting any details.

What information we collect
When you use our trial or contact forms, we may collect:
- Contact details — your name, email address, and phone number.
- The child's details — the child's name and age or date of birth, where you provide them so we can arrange a suitable session.
- Medical or health notes (optional) — if you choose to complete this field, any health, medical, or injury information you tell us about the child.
- Your message — anything else you write in the enquiry.
We also automatically collect limited technical information (such as your IP address) purely to protect our forms from spam and abuse, using the service described under "How we protect our forms" below.
Health information is special category data. Under the UK GDPR, medical and health details receive extra legal protection. This field is entirely optional. We only ask for it so our coaches can keep your child safe during a session, and we treat anything you share here as sensitive.

We do not use your information for advertising or marketing unless you have separately and clearly agreed to it, and we never sell your data to anyone.
Information about children
The details you submit usually relate to a child. We rely on you, as the child's parent or guardian, to provide this information and to give consent on the child's behalf. If you would like us to update or delete a child's information at any time, please contact us using the details above.
Who we share your information with
We do not sell or trade your personal information. We share it only with the trusted service providers that help us run the website and respond to you:
- Google (Gmail) — enquiries submitted through the forms are sent to and stored in a Gmail mailbox so we can read and reply to them.
- Cloudflare — we use Cloudflare Turnstile to protect our forms from bots and spam. This checks that a real person is submitting the form.
- Hostinger — our website and its database are hosted by Hostinger, which stores enquiry data on our behalf.
Some of these providers may process data outside the UK. Where they do, we rely on appropriate safeguards (such as UK adequacy regulations or the International Data Transfer Agreement) to keep your information protected.
How long we keep your information
We keep enquiry information for up to 12 months from your last contact with us, after which enquiries that have not led to a child joining are deleted or anonymised.
If your child goes on to join the club, we keep the relevant details for as long as they are involved with us, plus a reasonable period afterwards, as part of our membership records.
This retention period applies both to enquiries stored on our website and to the copies held in our email inbox.
How we protect our forms
Our forms use a range of security measures — including bot protection via Cloudflare Turnstile and other technical safeguards — to prevent spam and misuse. We host our own fonts rather than loading them from third parties, and we do not use advertising or tracking cookies. Turnstile may set a minimal cookie strictly necessary for its security function.
Your rights
Under the UK GDPR you have the right to:
- Access the personal information we hold about you.
- Rectify information that is inaccurate or incomplete.
- Erase your information ("right to be forgotten").
- Restrict or object to how we use your information.
- Withdraw consent at any time, where we rely on your consent — this will not affect anything we did before you withdrew it.
- Data portability — receive a copy of your information in a portable format.
